This position provides administrative and programmatic leadership for theBiostatistics Graduate Program (PhD, MS) and the Executive Masters in HealthData Science Program (EMHDS). The role manages the day to day operations of thetwo programs. Responsibilities include planning, coordinating and executingvarious activities to support faculty leadership, and working directly with thetwo Program Directors. The person in this role will execute administrative andbusiness procedures and will be a key resource to current and prospectivestudents.
Manages administrative and business details of this evolving graduate program
Coordinates activities with the director of graduate studies, instructors and students
Coordinates recruitment, admission, and enrollment process
Communicates with Registrar's office regarding class registration processes
Assures appropriate classroom and teaching facilities, and facilitates communication between teachers and students
Coordinates student annual examinations and review meetings
Tracks individual students progress to ensure that all requirements are met and compiles documents to support graduation
Coordinates employment, wage and salary, benefits and other personnel activities with the BRET office for graduate students
Independently coordinates all program-related events including recruitment functions, orientation, conferences, thesis presentations, receptions, and graduation activities
Prepares various internal and external reports on behalf of the program
Appropriately oversees a student body
Processes all student administrative paperwork (comprehensive exams, qualifying exams, dissertation defenses, transfer credit)
The responsibility for the EMHDS program requires the successful candidate to be able to coordinate students visits and food catering for 11-13 pre-determined weekends (arrangement will be made so the candidate will have 5 working days for those pre-determined weeks).
Financial Management of GraduatePrograms
Manages programs finances in partnership with program director and BRET Department Administrator
Monitors annual budget and carefully stewards the graduate program funds and keeps the leadership up-to-date by providing budget projects and anticipated expenditures and needs
Prepares student award forms and ensures student financial accounts are in good standing
Reconciles each term with financial management and student accounts
Creates journal entries to assure faculty is compensated for teaching time
Marketing and Communications
Coordinates all communication and public relations efforts for the program
Tracks information on students, alumni, and faculty and efficient methods of regular communication
Develops materials for prospective and current students
Maintains both program websites
Actively seeks ways to improve the visibility of the programs internally and externally
Duties andResponsibilities for the EMHDS program
The EMHDS is a new program with a combination of online andweekend-on-campus class. It is jointly sponsored by Departments ofBiostatistics (BIOS) and Biomedical Informatics (DBMI).
·Prepares annual budgetsfor the EMHDS (VU), monitor expenses (VU center numbers), and perform budgetreconciliation (VU center number).
·Processes all paymentsrelated to the EMHDS (VU center number) and work closely with the BIOS and DBMIDepartmental Administrators to ensure that VUMC-funded payments are processed.
·Manages and monitorfaculty compensation payments (DBMI and BIOS – VUMC).
·Develops and manage theaffiliation agreements with students' employers or other providers of practiceand capstone projects.
·Administers university,BIOS, and DBMI procedures for students' awards for tuition and fees.
·Manages Student Accountspayments (VU).
·Manages all aspects ofthe Admissions process, including recruitment of applicants, coordination ofinterviews, admissions decision making, offers of admission and funding, andmatriculation.
·Supports the curriculumcommittee; manage issues related to the EMHDS curricula and course offerings,including communication of curricula and course descriptions, scheduling,registration, and grade rosters.
·Plans, develops andimplements strategic design of marketing initiatives, including websitecontent/design, brochures, and recruiting announcements.
·Overall coordination ofall EMHDS-related activities and events, including course meeting schedules,special events, etc. for face-to-face and online learning.
·Develops and implementacademic progress report, as well as procedures and documentation to supportstudent progress evaluation.
·Acts on behalf of the EMHDSProgram Director with defined scope of authority.
·Assists Program Directorwith confidential matters relating to students, teaching faculty, and personnelissues.
·Serves as liaisonbetween teaching faculty, staff, and students; resolve problems whenappropriate, keeping Program Director informed.
·Manages staff, students,and temporary employees supporting the EMHDS.
·Prepares confidentialwritten communications and maintain confidential files and student records inaccordance to FERPA regulations.
·Identifies, analyzes andimproves upon existing degree program processes for optimization and to meetstandards of quality.
Profile ofan Ideal Candidate
Bachelor's degree from an accredited institution of higher education is necessary.
Master's degree from an accredited institution of higher education is preferred.
Three years of experience in a related field is necessary.
Knowledge of Microsoft Office Suite is necessary.
Ability to multitask and be flexible while maintaining organization is necessary.
Experience supervising staff is necessary.
Excellent verbal and written communication skills are necessary.
Experience in financial management, including budgeting, purchasing, and traveling is necessary.
Software Experience in: Slate, SkyVU, Oracle, Excel, Adobe Creative Suite is required
