The College of Extended and Global Education (CEGE) is seeking an experienced and dynamic professional to fill the position of Administrative Operations Director at California State University, San Bernardino. Reporting to the Dean of the College of Extended and Global Education, the incumbent is responsible for providing strategic counsel to College leadership team, for external and internal communications of the Dean's office, for providing strategic lead on high-profile projects and preparing college-wide reports, as well as for managing hiring and other HR issues, and ensuring effective team management. The director is also responsible for developing and implementing efficient college-wide processes, procedures and policies to increase efficiency of CEGE operations. As a member of the College leadership team, the incumbent plays a key role in advancing college initiatives and its strategic plan. The Director of Administrative Operations is a dynamic leader and project-oriented professional who elevates the college's profile, improves efficiency of operations, and executes the college's brand through strategic marketing and communications plans. The Director of Administrative Operations collaborates with the CEGE Leadership team to advance the College's mission and to raise the visibility of the College of Extended and Global Education and the University. Operations Management: - Serves as the member of the CEGE leadership team, participate in developing innovative strategies for achieving CEGE, CSUSB and CSU strategic goals.
- Oversees strategic planning process for the College.
- Creates & update reports for reviewing key performance indicators.
- Drafts procedures and make recommendations for efficient processes within the college.
- Oversees the hiring of key personnel, assist management in drafting job descriptions and work collaboratively with HR throughout the process.
- Assists the Dean in preparing performance evaluations and related documents.
- Manages the effectiveness of meetings by preparing meeting agendas, minutes, pertinent materials, and ensuring timely follow-up.
- Strategically manages Dean's time; working with Assistant to the Dean and the Dean to identify strategic priorities; looks at long-term travel calendar, evaluates opportunities and determines fit with priorities.
- Reviews internal and external communications; drafts newsletters, reports, speeches or presentations for the Dean.
- Monitors information flow from and to the Dean's office ensuring timely decision-making.
- Oversees large, often cross-functional, projects or initiatives, by bringing together multiple stakeholders; assists in driving decisions.
- Creates systems and processes to streamline operations.
- Researches, benchmarks, analyzes data, and makes recommendations.
- Provides direction for and manages the reporting staff; establishes annual goals; monitors their progress; communicates job expectations; conducts reviews and evaluations, including plans for corrective actions, as needed.
- Manages the team's processes and systems to streamline workflow and maximize efficiency.
- Manages contracted service providers.
- Develops and manages dissemination of writing, editing, and/or production of materials for College and departments (e.g., annual reports, digital newsletters, print and digital flyers, videos, website, digital signage, press releases, fact sheets, ads, brochures, etc.).
- Oversees the review, consolidation, synthesis and writing about College activities for external audiences. Oversee the design of marketing materials in support of college-level events.
- Collaborates with the CEGE leadership team to develop communication strategies to support and drive the College's goals and priorities with internal and external audiences, as well as develop key messages to support the College's strategic goals and initiatives.
- Develops strategies to target key messages to various stakeholders internally and externally.
- Establishes and maintains close relationships with department staff to leverage collaboration and partnership opportunities for communication efforts and to ensure synergistic, comprehensive, and consistent activities across all units to achieve the College's goals.
- Collaborates with unit-level staff to ensure that all marketing communications activities across the College consistently support the College's brand and image.
- Works with the Dean and the CSUSB Strategic Communications to develop internal communication strategies and implements efforts to build a sense of community, awareness, support, and pride among internal audiences.
