As a member of the ANR Event Services team, the Educational Program Coordinator II will support employees within MSU Extension, the College of Agriculture and Natural Resources and AgBioResearch with their event related needs. This position will be responsible for multiple events varying in size throughout the year. Some overnight travel, as well as early mornings and late night hours is required.
The successful applicant will develop, plan, coordinate and manage assigned projects/events; manage and create timelines; develop project/event budgets, and monitor, analyze, and reconcile related records, and prepares expenses for processing; coordinate publicity, including the development of flyers, invitations, email blasts, social media posts, calendar postings, etc.; manage and update event-related webpages; build and maintain online registration sites, manage onsite registration, including the collection of registration fees; coordinate details with vendors and caterers; arrange transportation, speakers, vendors, etc.; load, unload, transport and set-up for events; haul, move and set-up tables, chairs, booths, and other event related needs. This position will be based from the campus of Michigan State University in East Lansing, Michigan.
Develops agendas, sets dates and coordinates speakers, contracts, facilities and budgets in order to develop and facilitate workshops, conferences, courses, and educational programs.
Uses information gained from meetings, evaluation forms, and input from individuals in order to design programs and materials to satisfy needs.
Compiles, designs and manages event-related website.
Coordinates publicity and organizational procedures in order to implement conferences, workshops and programs.
Evaluates programs in order to enhance future programs and to disseminate information.
Presents training programs.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Educational Theory and Methodology, Hospitality Business, Communications, or Business Administration and/or a specialization in the designated area of expertise.
One to three years of related and progressively more responsible or expansive work experience in planning and overseeing seminars and conferences, including public relations, organizing and disseminating training materials and information both written and web-based.
Budget and records maintenance and computer support.
Experience in supervision, database, spreadsheet, word processing, desktop publishing, knowledge of HTML programming and web site development and management.
Or an equivalent combination of education and experience.
Experience acting as a project/event lead.
Experience developing and managing budgets for projects/events.
Experience managing event-related web pages, including updating of social media sites, creation of flyers, invitations, email blasts.
Experience working with an events management system; prior experience managing onsite registration, including collection of registration fees.
Experience negotiating contracts and arranging details with vendors, including hotels, caterers, transportation companies, etc.
Demonstrable experience working with clients to learn about projects and work to develop the agenda/content/sessions in a way that enhances the experience and better serves the programmatic goals.
Effective oral and written communication skills.
Demonstrated ability for accuracy and thoroughness.
Self-motivated with demonstrated ability to work productively on a team and independently.
Knowledge of computer software and usage (e.g., word processing, spreadsheets, scheduling, Internet browsers, graphic design and layout, etc.).
Ability to lift and carry educational materials, equipment, etc. up to 50 lbs.
Proven ability in establishing and working with a diverse network of constituents and community members across race, gender, socioeconomic class, disabilities and other differences.
Understanding of and ability to implement Civil Rights principles and compliance standards.
