Based within the Universityâ™s Office of Communications, the Associate Director of Provost Communications will provide communications support for the Office of the Provostâ™s leadership team, including among others the Deputy and Vice Provosts, and also collaborate closely with academic divisions, professional schools, centers, institutes and other University units. This individual will ensure that communications for the Office of the Provost are coordinated and streamlined with overall University communication efforts. The candidate must be an exceptional, highly-organized project manager with attention to detail and a strong communicator.
Reporting to the Executive Director and Chief of Staff in the Universityâ™s Office of Communications with a dual reporting relationship to the Associate Provost and Chief of Staff for the Office of the Provost, the Associate Director of Provost Communicationsâ™ responsibilities include:
Developing and implementing a communications strategy to support the Office of the Provost. This should include a comprehensive and effective internal communications plan for the many programs and activities across the Office of the Provost.
Serving as the central communications lead for the Office of the Provost and the main point of contact to whom all Office of the Provost staff direct their communications needs; assessing, triaging, and swiftly managing all Office of the Provost communications needs.
Ensuring that all Office of the Provost communications are streamlined, managed effectively, and deployed successfully and on schedule.
Developing and executing key internal and external messages in order to communicate to key constituents initiatives of the Office of the Provost leadership team and their respective impact.
Ensuring timely distribution of information about news, events, and other initiatives, including regular messages to the Office of the Provostâ™s email lists.
Overseeing, writing and/or editing Office of the Provost updates, invitations, talking points, and other materials, including one-time reports. Producing materials and messages from draft creation through to distribution of the final product. Talking points and other materials may be at the request of senior leadership within the Office of the Provost, or their designees.
Supporting implementation of internal events, including logistics and content (agendas, presentations, video, external speakers, etc.) for internal meetings of all sizes.
Supporting organizational announcements and change management communications as needed.
Developing and implementing metrics to assess the effectiveness and impact of internal
Proven ability to lead and work effectively horizontally and vertically.
Demonstrated skill and willingness to take initiative and to proactively anticipate organizational needs including the ability to meet external and internal deadlines.
Exceptional time and project management and organizational skills including the ability to meet external and internal deadlines.
Exceptional oral and written communications skills required for the effective delivery of the Office of the Provostâ™s priorities.
A working knowledge of Microsoft Word, Excel, and PowerPoint as well as social media and web tools. Ability to create distinctive PowerPoint presentations preferred.
Knowledge of grammar, punctuation, spelling and style.
Ability to work independently with a high degree of initiative.
Attention to detail.
Ability to maintain confidentiality. Ability to handle complex and confidential information with discretion.
Ability to work on multiple projects simultaneously, set priorities, and meet deadlines.
Education, Experience, or Certifications:
Bachelor's degree required
A minimum of 8+ years of professional experience in relevant communications, public relations, higher education, or related roles required.
Experience overseeing production of marketing and communication materials preferred.
Knowledge of communications best practices including technology preferred.
Proven success in communications for higher education and/or non-profit organizations preferred.
Demonstrated ability to influence people to meet goals and deadlines, work collaboratively with senior leadership, consultants, colleagues, and other constituents.
Working Conditions and Physical Requirements:
