Advertised Summary Job Description: Reporting jointly to the Associate Dean of Development and the Director of Development at the School of International and Public Affairs (SIPA), the Executive Assistant assumes all responsibilities for overall office management and executive level support of the SIPA Development Team and SIPA Fund in particular.
Working independently, the Executive Assistant will provide administrative support for the Associate Dean and Director of Development including managing calendars, arranging travel, preparing expense reports, and drafting correspondence as needed for both the Associate Dean and Director of Development. Often working with highly confidential and sensitive documentation, the Executive Assistant will work closely with the Associate Dean and Director of Development to prepare materials for meetings including briefings, RSVP lists, meeting materials, preparing biographies, recording attendees in the School's database, and other tasks as required. In addition, the Executive Assistant will act as the main liaison with the University's Annual Fund Programs direct marketing team to implement the School's solicitation strategy across direct mail, student calling, email and video-documentaries, with important duties including but not limited to: - Organizing, attending, preparing materials for, and actively participating in monthly planning/strategy meetings - Managing mailing calendars - Checking accuracy of data/preparing spreadsheets - Reporting and gift tracking - Database upkeep, including inputting contact reports - Providing input on drafts of appeal letters, including proof-reading - Interviewing students as potential subjects for video-documentaries and stewardship reports - Assist with all development and alumni relation events - Other duties as assigned by the Associate Dean and/or Director of Development
The Executive Assistant will prepare mailings to invite selected alumni/parents/friends to attend special events and/or to join one of the School's boards. Additional duties as assigned. The Executive Assistant will support the team on report and data analysis. Running daily and weekly reports to update the team on annual giving numbers and goals. Will be required to produce ad hoc reports with analysis from the various databases and sources of information.
General Minimum Qualifications: Bachelor's degree and/or its equivalent required. Minimum of two (2) years related experience required. Must possess strong computer proficiency, including Microsoft Office. Some weekend, evening work and travel required.

Preferred Qualifications: Experience in executing direct marketing appeals through mail, email and phone preferred. Basic quantitative analytical skills are preferred. Understanding of the mission and purpose of institutions of higher education is strongly preferred.
