Job PurposeTowson University is accepting applications for an Administrative Assistant II. Under general supervision, provide complex administrative support to the Dean’s Office in the College of Health Professions (CHP). Oversee multiple priorities in a fast-paced work environment with comprehensive knowledge of the college, skill in working with issues related to University policy and procedures, and confidentiality in all matters. Use discretion and judgment to provide solutions, escalating matters to a higher level when necessary.
Oversee office operations including internal communication, operational support, and guidance to student employees and other office/departmental staff as needed. Follow-up on pending issues and deadlines with office staff. Develop, implement, and maintain filing systems, including archiving and management of information using procedures as outlined by the University record retention requirements. Serve as first point of contact for internal and external stakeholders, including faculty, staff, students, and visitors. Receive incoming correspondence, email, phone calls, and visitors, and appropriately summarize and prioritize requests. Independently handle procedural and substantive matters, or refer to others when appropriate. Serve as a gatekeeper to the office. Work with Dean's Office staff to provide assistance with CHP events from initial discussion, scheduling, planning, set-up and on-site. Organize meetings as needed. Insure timely communications with event services and attendees. Edit, format, revise draft documents and convert documents to final version using campus style and Dean's guidelines. Create reports in MS Word, Excel and other formats as needed. Monitor, coordinate, and manage multiple calendars. Oversee assigned Dean's Office activities to include conference room scheduling, selected spreadsheets (e.g. GA and RA annual documentation), access to student and faculty records, etc. Support Dean's Office with other administrative duties as needed. This position is a reflection of the College. When serving the office at the front desk, this position becomes a "face" of the College and needs to reflect respectful and timely communication for all persons. The CHP Dean's Office philosophy is one of service to others. Customer service is critical.
High School Diploma or equivalent. Three years of experience providing administrative support. Strong communication skills, ability to prioritize essential office needs, efficient computer skills with MS Office, ability to learn TU systems (PeopleSoft, Taleo, etc.). Attention to detail. Strong customer service skills over telephone and in person. Presentation of professional image with all communications (telephone, in-person, etc.). Calm communication style and ability to defuse stress is required in a busy office setting. Preference given to those who have experience in an academic support office setting.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Salary and Benefits$35,728.00 annually with full University benefits including annual leave, up to 14 holidays, personal and sick days; tuition remission; and excellent health, life, and retirement plans.
