Under the supervision of the President or designee, the Executive Assistant to the President is responsible for providing high-level, administrative support to the office and President of the College.
Duties & Responsibilities:
1.Assist with oversight of the day-to-day operations of the President's Office. Address procedural and workflow issues to ensure efficient office operations, effective internal communications. 2.Draft, edit and prepare correspondence, presentations, meeting materials, and meeting agenda and minutes as directed. Communicate and coordinate follow-up actions in cooperation with area, department and institutional staff as needed. Ensure meeting information is archived on the appropriate SharePoint site. 3.Research, draft and write speeches, policy, and position papers and contribute to scholarly publications as directed. Obtain/prepare data for use in the decision process. 4.Coordinate the submission of monthly and strategic plan reports. Produce college-wide summaries of activities and accomplishments toward the achievement of goals/objectives. Draft and compile monthly reports for the President and Board of Trustees. 5.Supply background information and/or supporting documents in preparation for scheduled meetings, speaking engagements, conferences and other related appointments. 6.Screen incoming calls to and maintain the schedule of the President. Plan meetings and appointments, make travel arrangements and process travel reconciliations. 7.Plan, formulate and recommend for the approval of the President basic policies and programs which will further the objectives of the office and the college. 8.Work on special assignments, and plan, coordinate and/or assist at various events and activities sponsored by the office, as directed. 9.Serve as liaison between the President and students, faculty and staff promoting and facilitating open communication; areas and departments in providing assistance; and on external, institutional standing and/or ad-hoc committees, as directed. Develop and chair the President's Taskforce on Campus Morale. 10.Provide administrative oversight for the President's budget as directed. Work cooperatively with area and departmental personnel on budget preparation and monitoring ensuring budget requests are in line with program and administrative needs and funds availability. Monitor budgets in accordance with college regulations and guidelines. 11.Handle and/or manage sensitive information and adhere to strict confidentiality at all times. 12.Maintain strict confidentiality and security of student, staff and client records. 13.Prepare routine, special and ancillary reports as required. 14.Perform other related duties as required.
1.Master's degree. 2.Experience providing executive-level, administrative support, preferably in higher education at the community college level. 3.Demonstrated ability to write quality correspondence and reports. 4.Working knowledge of computers and related software applications, preferably on both the Windows and Apple platforms. 5.Demonstrated ability to work effectively with diverse academic, staff and student populations as well as external constituents. 6.Excellent analytic, problem solving, decision making, organizational, interpersonal, and oral and written communication skills. 7.Ability to work in a multi-cultural environment.
1.Master's degree in a related area. 2.Five or more years experience providing executive-level, administrative support, preferably in higher education at the community college level. 3.Knowledge of college administration, policies and procedures. 4.Demonstrated knowledge of federal, state, and local laws, regulations and policies governing administration and finance in higher education, preferably at the community college level. 5.High energy level, comfortable performing multi-faceted projects in conjunction with normal activities.
