General statement of duties and responsibilities:
Provide clerical and administrative office support and functions to the Payroll Office and Human Resources Department, serving a diverse college community. Responsible for ensuring the timely and accurate completion of assigned department work and specific projects. Perform other related duties as required.
Essential Job Functions:
Scan documents into the College's electronic filing system.
Prepare and validate payroll spreadsheets containing information relative to employees' weekly and bi-weekly pay. Compare internal spreadsheets to information contained in the state online payroll system.
Make entries to the Payroll Database relevant to part-time employment at the college.
Assist in making updates to biweekly spreadsheets relevant to accumulated hours worked for part-time employees to determine rate increases.
Assist in HR and payroll file maintenance.
Provide exceptional customer service to employees. Answer questions for and provide assistance to employees both in person and via email and telephone.
Perform general office duties, including filing, copying, answering telephones, typing and emailing correspondence, utilizing facsimile and scanning machines, shredders, etc.
Communicate with various College Departments and other State Agencies to obtain information and answer questions. Position requires collaboration with other departments and employees.
Open, process, and distribute incoming mail for the department, including biweekly paychecks and advices.
Attend staff meetings and meetings with other departments/employees from time to time.
Perform other related duties as required.
Working Conditions/Physical Demands:
Normal office environment, not subject to extreme variations of temperature, noise, odors, etc.
May use computer keyboards requiring eye-hand coordination and finger dexterity.
More than half of time spent in normal office setting.

High school diploma, HiSET or GED
Strong organizational skills and attention to detail.
Excel Spreadsheet navigation and experience with Microsoft Office tools.
Ability to recognize departmental priorities and work cooperatively to support their accomplishment.
Ability to communicate effectively both verbally and in writing; to establish positive public relations for the department; and to interact effectively with a wide variety of individuals with diverse backgrounds, abilities and social identities.
Knowledge of the principles and practices of office support including working with sensitive and confidential information.
Knowledge of, and experience with, the types and uses of general office equipment.
Experience with computerized information systems.
Cultural awareness and competency demonstrated by working with and/or understanding of individuals of diverse identities such as socioeconomic level, sexual orientation, race, ethnicity and veterans including those with different levels of academic preparation, varying physical and learning abilities.
Associate's degree or higher in a related field
Bilingual skills a plus.
Salary: $17.25 per hour, non-benefited
Schedule: 18.5 hours per week; not to exceed 960 hours per fiscal year.
