The Qualcomm Institute/Calit2 Events Unit is a UCSD campus recharge at California Institute of Information Technology and Telecommunications (Calit2) that provides event support services to campus departments, Calit2 affiliated research projects, principal investigators, private industries, and government sectors. It organizes and/or hosts over 190 events, symposium, and conferences a year.
The Qualcomm Institute is recognized the world over as a premier venue for events and performances, both for the academic community and general public. QI hosts over 180 events, conferences, and symposiums annually. The Auditorium in Atkinson Hall and associated performance spaces are outfitted with some of the most cutting-edge audio-visual equipment available anywhere, and QI's experienced staff are committed to making every event a success. QI's state-of-the-art facilities can accommodate small, intimate meetings and performance art, to large multi-day conferences, complex technology showcases and everything in between.
The QI/Calit2 Event Coordinator's responsibilities encompass a wide variety of duties such as special events/meeting coordination, administrative project support, financial support and general administration. The Event Coordinator is responsible for the planning and logistics for various size events and conferences, organizing and attending project meetings, preparing financial records, coordinating travel, and maintaining client relations with campus departments, the government sector, and industry that may result in potential research and partnership with Calit2.
The performance of duties requires strong customer service skills, event management experience, problem-solving skills, detailed record keeping, the ability to prioritize workload, ability work as a team, excellent interpersonal and communication skills and preferred knowledge of UCSD's event/fiscal policies and procedures.
~ Must be able to work altered work schedule as required between the hours of 7:00am - 10:30pm.
Prior experience in event planning, public relations, project management, etc. demonstrating knowledge of the principles and practices of events management, international and domestic, and the principles and practices of public relations.
Skill and knowledge of meeting planning, logistics, catering, audiovisual, special equipment, facilities, etc. Skill in conceptualizing, planning and organizing events and projects.
Excellent customer service skills. Ability to communicate with poise and professionalism to a wide variety of people, both in person and on the telephone. Ability to build and maintain customer relationships through a professional approach in handling customer service needs and problems.
Strong skill in using personal computers and a wide variety of software packages for word-processing, spreadsheets, database processing, presentations and calendaring (e.g. Microsoft Office suite, Adobe Photoshop, Google applications, etc.).
Ability to work with a team, participating in group discussions regarding departmental procedures, goals, and business solutions.
Demonstrated experience with purchasing, entertainment, and travel reimbursements. Strong mathematical skills sufficient to generate invoices, check requests and travel requisitions.
Strong analytical and problem solving skills with ability to analyze situations, identify existing or potential problems, recommend solutions, determine and implement procedures to accomplish effective resolution, and evaluation results or progress.
Solid ability to work independently and effectively with minimal supervision, to learn quickly, exercise good judgment, take initiative, flexibility, and maintain composure while working under pressure of frequent interruptions and changing priorities with strict deadlines.
