SPEAKER RELATIONS COORDINATOR , Solve , to play a critical role in promoting and growing Solve's cutting-edge and diverse community. Solve is an MIT initiative that advances lasting solutions from tech entrepreneurs to address the world's most pressing problems. Will coordinate all speaker logistics, including managing timelines, identifying/interviewing/researching speakers, and leading weekly speaker meetings to discuss any program issues/vacancies; provide research, outreach, and coordination of event process for speakers including on-going communication, managing prebriefing calls, and preparing all documents/questions in advance; coordinate and correspond with organizations/speakers to ensure collection of speaker information, logistics, and set-up needs; determine deadlines for action steps; plan and coordinate weekly update team meetings; serve as a resource for speakers on-site at events; evaluate and recommend staffing needs including training and directing volunteers to serve as speaker guides; track and reconcile speaker budget(s) and process travel expenses; develop and maintain database(s) to generate reports; evaluate and report on past events; and create event reports. The position involves interacting with world leaders in business, government, nonprofit, and academic sectors.
REQUIRED : at least two years' experience in project management, preferably in speaker relations or event management; strong interpersonal, teamwork, and verbal and written communication skills; initiative/self-motivation; flexibility; detail-orientation; and highly-developed organizational and management skills. Must be able to work independently; manage multiple projects simultaneously; function effectively under pressure; approach problem solving creatively; effectively manage and build relations with key internal/external stakeholders including high-level speakers and their staff; and manage registration platform, online form tools, and CRM databases (e.g., Salesforce).
