Advertised Summary Job Description: The Project and Production Manager is a vital link between the editorial and creative teams within the Columbia Law School Office of Communications, Marketing, and Public Affairs. Reporting to the Executive Director, s/he is the primary project manager for the department, handling the full range of duties involved in producing materials, both digital and print, from project initiation to completion. The manager allocates resources and prioritizes projects based on institutional goals. S/he will create and execute detailed project plans and timelines, coordinating between internal departments and stakeholders, vendors, freelance resources, and the Communications team to ensure that deliverables are fully met in accordance with the project schedule and budget.
Serve as the primary project manager of Communications Office projects across all media and content delivery types (print, digital, video, creative, etc.), and for all project phases from kick-off to delivery. Develop project plans, including clear and specific outlines of project scope, sequence, and deliverables. Track progress, update colleagues on a regular basis, recommend adjustments as necessary. Serve as the primary point of contact on the department's behalf with internal clients throughout the project lifecycle.
Manage the review and production of deliverables, serving as the central point of contact between the Communications team and vendors. Examples include, but are not limited to, aggregating feedback on multiple drafts and ensuring changes are incorporated into design; overseeing fact-checking and proofing; trafficking proofs, digital wireframes/mock-ups, text, and other assets within the department and between the department and clients and freelancers; delivering final files to printers and coordinating the launch of web assets with relevant stakeholders.
Assess availability of departmental resources, both internal and external (e.g., freelance writers, editors, and designers), and assist in allocation and prioritization of workflow. Vet, hire, and monitor the work of freelancers and consultants in collaboration with the Communications team. Arrange for RFPs, bids, and work samples/portfolios as necessary.
Design and implement workflow processes. Establish rigorous project management systems in accordance with industry best practices, including taking ownership over various technological tools (e.g., Smartsheet, Trello, JIRA) on an ongoing basis. Identify operational roadblocks and propose solutions.
Assist with other special projects and assignments as needed.
General Minimum Qualifications: Bachelor's degree in communications, marketing, or related field required. Advanced degree a plus. Relevant project management certification (e.g., PMP) or training also a plus.
3-5 years of experience as a project manager, preferably in a creative, marketing, or other communications environment. Experience working in higher education and/or a non-profit organization a plus.
Extremely detail oriented, organized, self-motivated and highly efficient at managing time. Experience with copy editing.
Proven track record of building operational infrastructure and implementing project management tools. Proficiency with project management best practices and methodologies, including software tools (e.g., Smartsheet, Trello, BaseCamp, JIRA, etc.).
Ability to lead process improvement, change management, and digital transformation. Experience with complex website redesigns and in working with external firms and internal technical resources on complex projects.
Experience with identifying, vetting, and managing freelance resources (e.g., writers, print houses, videographers, photographers).
Superb written and verbal communications skills. Ability to work with internal clients with varying needs (e.g., IT, fundraising, faculty, etc.). Interpersonal and negotiation skills also a must. Account management experience and knowledge of communications tools and market environment a plus.
Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.), Google Suite; and Macintosh OS X. Experience working in a Drupal content management system, as well as with Adobe Creative Suite.
