DE TURF Sports Complex, a 501c(3) organization, located in central Delaware, is 86 acres comprised of 12 synthetic turf fields that hosts over 40 events annually for the purposes of attracting sports tourism to the area and generating significant economic impact. The DE TURF Sports Complex is seeking to recruit and contract with tournament directors to develop events in the following sports of lacrosse (boys and girls) and field hockey. The Tournament Director would primarily be responsible for planning, development and execution of select tournaments hosted at the facility in the sports of lacrosse for both boys and girls and field hockey. Tournament age groups would include, but not limited to youth age groups, middle school and high school travel club teams. This position will report directly to the Executive Director.
Tournament Director Responsibilities: Responsible for the overall organization, planning and management of the Tournament and for regularly updating DE TURF staff regarding the status of all material issues
Recruiting and soliciting teams to register for tournament.
Scheduling all games during the Tournament
Identifying referees and other support staff needed for the Tournament.
Communicating with teams, coaches and players regarding game schedules, rules and other issues relating to the Tournament.
Working collaboratively with DE TURF staff to ensure following tournament activities are accomplished on a timely basis:
Application for tournament sanctioning to the appropriate sanctioning bodies.
Formulation of tournament rules.
Providing for appropriate advertisement of tournament activities;
Marketing the tournaments at workshops and conferences (if requested)
Establishing tournament entry fees in conjunction with DE TURF.
Recruiting and managing volunteers;
Acquiring, with input, guidance and approval from the DE TURF’s suppliers of equipment, goods, tournament paraphernalia, concessions and ancillary services;
Arranging for athletic trainers.
Working collaboratively with DE TURF staff on website maintenance.
Notification of acceptance and rejection to prospective invitees;
Developing tournament T-shirt designs and establishing purchase quantities of T-shirts and other soccer novelties to be sold at tournament sites;
Contracting with referee associations for referee and assistant referee (formerly linesmen) services;
Ordering and selection of trophies and awards;
Ensuring that all tournament funds and receipts are segregated and maintained as required to meet generally accepted accounting principles and be in compliance with DE TURF policies; all such funds and receipts will be maintained at DE TURF corporate offices; and financial reports detailing tournament income and expenditures will be prepared on a bi-weekly basis.
Managing all public relations for the event; other duties as assigned by DE Turf.
3-5 years of proven tournament management experience.
Proven ability to recruit and retain team participation.
Excellent communication skills, both written and verbal.
Excellent customer service skills.
Ability to develop strong client relationships.
Must be organized, creative and enthusiastic.
Proficiency in basic Microsoft Office programs (Word, Excel, PowerPoint, Outlook)
Able to demonstrate flexibility and quickly adapt to changes while maintaining high levels of productivity and effectiveness under pressure
Demonstrated ability to develop and oversee tournament budgets.
