The Operations Assistant works to support the mission and integrity of the Johns Hopkins University and to assist in creating an excellent experience for our students through their participation in athletics and recreation.
Position provides broad-based support to the department and assists with day-to-day operations of very fast-paced, successful athletics and recreation programs.
Essential Job Functions
Supports the office manager and department staff with all aspects of administrative support as needed.
Assists with phone coverage, public relations efforts, and customer service. Acts as first point of contact for the department.
Assists varsity athletic teams with all travel arrangements, including flights, bus and car rentals, hotels, etc.
Assists with compilation of data and preparation of annual EADA and NCAA equity reports.
Maintains office supply inventories using various procurement methods.
Coordinates large mailings, FED-EX & UPS packages, sorts daily mail.
Responsible for working with vendors regarding office equipment maintenance and service.
Supports Office Manager & Associate Athletic Director, Business Ops. with deposit verification by preparing all money deposits on a daily basis.
Supports Office Manager & Associate Athletic Director, Business Ops. with department Procurement and Executive cards by managing all purchases and documentation for reconciliation of cards.
Assists with monthly copier charges and billing.
Assists with the management of hiring, training, scheduling, and supervision of student office assistants.
Assists with advance ticket sales in office for all post-season and lacrosse events.
Assists with will call operations during home lacrosse and post-season games (required to work on game days).
Provides game day event support for selected athletic events
Provides support for selected special department events
Assists with the development and distribution of external marketing communications
Assists with game day marketing promotions as needed
High school diploma required; college experience preferred.
Minimum of two years experience with customer service, preferably in a university and/or athletic environment. First point of contact for department: must possess excellent communication skills (both verbal and written) and have the ability to work well with others in an extremely diverse, fast-paced, competitive and growing department. Additional hours required during peak periods.
Special Knowledge, Skills, or Abilities
Must be proficient with MS Office, Adobe Photoshop (or other graphic design software), and popular social media platforms (Instagram, Twitter, Snapchat). Willing and able to work nights/weekends as required. Possess excellent written and oral communication skills. Ability to work in a team environment. Friendly, customer-first philosophy

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
