Provides administrative support for senior executive level leaders and Board of Directors to include the following:
Handle all aspects of the University of Colorado Hospital Authority Board of Directors and the UCHealth Board of Directors meetings to include catering, scheduling, meeting material preparation and posting to the board portal, catering, attend board meetings and project meeting materials as appropriate during the meeting, compile all meeting minutes.
Manage Contract with Board Effect. Be "Top Level Administrator" for the uchealth.boardeffect.com portal. Work with Board Assistants to ensure proper usage of the portal and consistency of use. Assist getting new Boards setup on the portal.
Work with Board Assistants to maintain updated lists of Board Members and contact information for CEO as well as current group lists in outlook. In addition, monitor website to ensure Board member information is current.
Oversee annual meeting scheduling of all Board to avoid conflicts and keep meeting schedule information current for CEO.
Coordinate logistics for the annual Joint Board Meeting at Coors Field in June.
Maintain electronic files of all agenda, minutes and meeting materials so they can be retrieved in a timely fashion.
Work with Audit Team annually to provide information as requested for the Fiscal Year Audit.
Additional Job Duties
Create meeting(s) timeline, prepare and distribute meeting notification, correspondence, and agenda materials
Attend board and committee meetings and record and compose minutes
Create and maintain board booklets and portal
Establish working relationship with the Board of Directors President and committee chairs in verbal, written, and electronic correspondence
Maintain, as needed, both mailing & public relations lists of board and committees, including website updates
Create mailings, newsletters, and other materials for the board committee members
Self-motivated, focused, positive attitude, flexible, and proactive
Ability to multi-task and work in fast-paced, demanding environment
Strong organizational skills
Ability to deal with high-level outside influences
Professional appearance and mannerisms

Board of director/trustee and executive-level contact on behalf of Executive team
Advanced computer skills, Excel, Word, PowerPoint, Access
High School diploma or GED
2 years of experience working as an Executive Administrative Assistant supporting a Board of Directors and/or board appointed committees or administrative support experience at an executive level.
