<p>As a member of the Carlson School’s Communications Group, the Client Services Specialist is responsible for providing assistance to the Manager of Client Services and team relative to marketing communications and for overseeing the production of those communications projects executed through the Client Services function. The Client Services Specialist will work to ensure that the execution of projects is consistent with the Carlson School’s mission and brand. This position will be supervised by and work closely with the Manager of Client Services, department peers, client contacts, and outside vendors to support the production of high-quality, mission-focused materials and branded merchandise.<br /><br />Specific responsibilities for this position will include managing projects including print and direct mail production; managing the relationship with the provider of our branded merchandise program; processing invoices and tracking expenditures; researching, gathering, and presenting information in support of institutional projects; and other special projects, as needed.<br /><br />JOB DESCRIPTION:<br /><br />Perform these day-to-day activities required to advance Carlson School marketing communication initiatives:<br /><br />1. Project Management (50%): Serve as project manager for the production of client projects for on-time delivery and budget expectations utilizing tools such as job orders, production schedules, estimates, and contact reports. Manage projects through internal creative services staff and/or external vendors. Observe department norms for quality, accuracy, responsiveness, and overall customer service. Responsible for appropriate administrative duties associated with project management such as estimating and billing.<br /><br />2. Print and direct mail production (20%): Research, evaluate, and select qualified print and direct mail vendors. Identify and select the appropriate and cost effective options for print and/or direct mail projects. Secure bids and negotiate fees that meet project specifications. Manage the print production processes, including submitting jobs, reviewing and routing proofs, and quality checks of final projects. Manage the direct mail production process including preparing detailed instructions for lettershops for projects, coordinating materials, and approving sign-offs. Stay current on new print and direct mail production processes and technologies. Stay current on postal regulations.<br /><br />3. Collateral and merchandise incentives management (10%): Manage contract and relationship with vendor for Carlson School online store. Work with vendor to identify merchandise for store and to apply brand standards. Act as liaison between Carlson School departments and vendor, as needed. Identify opportunities for additional visibility and promotion of online store. Manage ordering, inventory, distribution, and internal billing for standard Carlson School collateral (i.e. pocket folders, tablets, name badges, etc.).<br /><br />4. Budget and contract administration (10%): Provide support to the Communications Group for financial and budget services. Train in the Enterprise financial System and financial policies to be able to manage contracts and process invoices in compliance with University requirements.<br /><br />5. Administrative support (10%): Order supplies. Conduct online research and data gathering. Initiate correspondence and/or mailings, as needed. Maintain department’s project and competitive files. Maintain Communications departments shared meeting space. <p>MINIMUM / ESSENTIAL QUALIFICATIONS:</p><ul><li>BA/BS degree in Communications, Journalism, Marketing, Art or related field or four years combined equivalent combination of education and experience, to include experience in print production, advertising, direct mail, and/or marketing. </li><li>Project management experience and experience with project management tools, such as Trello.</li><li>Understanding of marketing, communication, and brand strategy.</li><li>Demonstrated:<ul><li>Experience in the technical aspects of producing marketing materials. Print production - advertising, direct mail, graphic design, and/or marketing expertise.</li><li>Experience managing external vendors including negotiation and collaborative problem solving skills.</li></ul></li><li>Experience working in a team environment.</li><li>Experience providing excellent customer service.</li><li>Excellent proofing skills.</li></ul><p>PREFERRED QUALIFICATIONS / SELECTION CRITERIA:</p><ul><li>Bachelor’s degree and completion of some marketing courses.</li><li>One to three years design, print production, direct marketing, and/or advertising experience with increasing responsibilities.</li><li>Ability to prioritize and manage concurrent projects.</li><li>Ability to complete projects on time and on budget.</li><li>Good writing and communication skills.</li></ul>
