A key role in Public Affairs, the Coordinator, University Relations works closely with the Exec Director, Admin & University Relations to continuously improve and facilitate an efficient and productive workflow for Public Affairs. This position provides administrative and small project support; will do research and analysis to support decision-making; advocate for teamwork, collaboration, and harmonious relations both within Public Affairs and with campus partners; and direct traffic (people, materials, communications, topics) in support of the strategic work of Public Affairs.
PRIMARY DUTIES AND RESPONSIBILITIES:
Maintain a current understanding of the strategic priorities of Public Affairs (PA) and the Exec Director, Admin & University Relations, as well as current understanding of PA staff challenges. Manage communication and organization tasks as assigned, including contributing content and maintenance to pa-operations.wustl.edu, as well as supporting both the trademark licensing program and tracking work in Common Ground. Participate in team meetings. Route materials. Prepare and edit presentations as requested.
Research and Analysis
Implement research and special projects. Suggest opportunities for data to illuminate deliberations. Create and implement survey instruments; analyze results; prepare reports.
Maintain an understanding of and proactively facilitate the Public Affairs workflow around magazine planning and production, including integrating with PA leadership’s calendars and priorities. Working closely with the Exec Director, Admin & University Relations, handle magazine financial transactions and maintain continuous, real-time reporting on magazine budget. Organize and lead regular magazine budget meetings. Collaborate with Exec Director, Admin & University Relations to designate and train backup for these tasks.
Public Affairs Operations
Perform accounting, personnel, general support, and operations functions as assigned, Provide back up coverage to other administrative staff as needed. Work with the Admin, University Relations, and Operations team on department-wide events and initiatives.
Pursue ongoing training and professional development activities and share expertise with peers

Associate’s degree or equivalent education with three years of relevant experience.
Bachelor’s degree with five years administrative or project management experience
Candidate should be comfortable with technology, including the use of project management software and other tools to ensure efficient workflow
Working knowledge of WordPress or Microsoft CRM5
Proven ability to foster productive working relationships with diverse constituencies
Ability to prioritize, organize and communicate effectively in writing and verbally
Expert attention to detail and accuracy
Ability to proofread documents using one or more style guides (e.g. AP, APA, Chicago Manual of Style, etc.)
Curious, analytical, technological bent
Ability to work independently and take initiative move along projects
Ability to work under pressure and with tight deadlines
Ability to exercise discretion and maintain absolute confidentiality
Sensitive to possible problems and willingness to advise and alert Public Affairs leadership about important issues that may emerge
Diplomacy and poise
Proficiency in Microsoft Office, specifically Power Point, Word, Outlook, and Excel
Comfortable working in a Mac environment
The hiring range for this position is $18.80 - $23.99 per hour.
