The coordinator of presidential events will be responsible for planning, coordinating, scheduling and executing events in partnership with other departments, offices, and organizations on and off campus. The coordinator will closely collaborate and strategize with the President's office staff and the special events team in Institutional Advancement on events involving the President.
1.Develop and coordinate the presidential special events calendar in concert with the President and other members of the administrative staff. 2.Responsible for managing event logistics including pre-event planning to maximize presidential attendance and engagement. 3.Establish appropriate protocol and ensure adherence to protocol for all special events that include the President as well as assist with follow-up. Plan and coordinate official and social requirements associated with events and briefings that involve distinguished visitors. 4.Coordinate with Institutional Advancement design concepts for invitations, programs, and other special event related items and approve designs and printed materials issued from the Office of the President; 5.Serve as a member of appropriate committees in order to facilitate coordination of presidential events with those scheduled throughout the university community. Develop event planning background materials for presentation and review. 6.Attend and as appropriate staff social events hosted by the president, and by other university constituencies which the President attends, in order to help establish relationships and good communications with the university’s many diverse constituencies. 7.Serve as liaison, on behalf of the President and/or the Office of the President, and interact directly with the Vice President for Institutional Advancement, Provost, Vice Presidents, Deans and other administrative officers and staff in regard to a range of issues as assigned or raised in the context of event planning.
8.Select gifts for honorees and oversee preparation of such gifts including gifts for international official presidential visits. Maintain an appropriate selection of official presidential gifts representative of the stylistic preferences of the President and in accordance with guidelines established by the University’s Office of trademarks and Licensing. 9.Plan, coordinate and staff events hosted by the President's spouse.
Bachelor's degree and 5+ years of experience in a relevant field (marketing, public relations, hospitality management or related field) and four to five years of progressively responsible event planning experience or the equivalent experience.

Ability to take initiative and work independently
Exceptional organizational skills and proven ability to keep track of and meet numerous deadlines; ability to handle multiple tasks in a timely manner and effectively re-prioritize responsibilities
High level of discretion and excellent judgment; ability to work with and manage confidential information
Must possess extremely strong interpersonal skills with the ability to build relationships with key stakeholders within a team approach to event planning and management.
Must be able to work a flexible work schedule and have the ability to travel including overnight stays with night and weekend work.
Master's degree in a relevant discipline
Progressive experience in supporting executive level positions
Experience at, or extensive familiarity with, institutions of higher education strongly preferred
Experience in leadership of special events for the President or Chief Executive of a large organization
