Provide direct administrative support to the Executive Vice President, Public Policy, and President, Travelers Institute and support a range of public policy initiatives in coordination with the Travelers Institute’s Hartford, CT-based staff. A team player who can work with functional teams across the enterprise, such as event management, procurement, legal, government relations, among many others.
Advanced administrative skill level is required to perform diverse and complex assignments. Ability to adapt procedures, processes and techniques to perform the more complex duties of the job. In addition, provide administrative support to Travelers Institute staff, including travel and expense reports, and is also responsible for office management duties.
*Primary Job Duties & Responsibilities
Manage executive calendars involving internal and external meetings, securing conference rooms, catering and IT logistics. Maintain calendars, databases and planning documents related to executive presentations and programming activities. Responsible for compiling information and statistics on activities for various internal and external reporting.
Manage complex international and domestic travel itineraries for executive(s) coordinating air and ground transportation as needed.
Manage expense accounts for executive(s) and submit all expense reports in a timely manner. Manage event-related expense reports and ensure accuracy of monthly accounting. Coordinate all aspects of various external and internal conferences for the Travelers Institute including management of registrations, coordination of travel for conference attendees, communication with external conference organizers and attendees, and other logistics. Manage domestic and international orders, payments and shipments for conference collateral. Frequent travel to manage events is required.
Work with the procurement department and external vendors to manage multiple Travelers Institute contracts including contract renewals, such as with event venues, photographers and videographers. Process all vendor related payment requests and follow-up with required approvals.
Able to maintain highly confidential information including business plans, legal actions, etc. Able to facilitate and document legal and communications-related reviews, as needed.
Decisions are made in situations in which there are no established procedures.
Works under minimal supervision where advanced judgment and problem solving are required.
High school diploma or equivalent required. Minimum of 10 years of related work experience required. Minimum of 3 years' experience supporting one or more senior level executives required. Advanced knowledge of Microsoft Word, Excel, PowerPoint and Outlook required. Advanced written and verbal communication skills required.
