The University of California, Los Angeles (UCLA) is accepting applications for the position of Director's Office Staff Associate. This is a career, full-time position with full health benefits and membership in the UC Retirement Plan. Under the direct supervision of the Senior Associate Athletic Director/Senior Administrator, the Director's Office Staff Associate will provide overall office management in the Athletic Director's Suite within the Department of Intercollegiate Athletics (DIA). Specifically, the Director's Office Staff Associate will provide primary administrative and clerical support for the Senior Associate Athletic Director and Senior Associate Athletic Director for Internal Operations. Additionally, this position will provide supplemental support to the Senior Staff housed in the Athletic Director’s Suite and Executive Assistant to the Athletic Director.

All applicants should demonstrate the following abilities and requirements: A Bachelor’s degree or minimum of five years of experience serving as an executive assistant and/or office manager is strongly preferred; Demonstrated executive and administrative secretarial skills, both orally and in writing;
Ability to exercise sound judgment to handle sensitive and confidential information and material with discretion; Ability to establish and maintain effective working relationships with all levels of University and system-wide administration; Superior public relations skills, including outstanding interpersonal skills to establish and interact effectively with faculty, staff, administrators, students, coaches, parents, Pac-12 Conference and NCAA officials, and relevant community, Ability to interact diplomatically with individuals of various social, cultural, economic and educational backgrounds; Communication skills to convey information in clear, concise manner; Working knowledge of English grammar, spelling and punctuation sufficient to compose, edit and proofread various documents; Word processing and computer skills to complete assignments with speed and accuracy; Ability to deal sensitively with confidential information; Ability to perform duties with accuracy, meeting deadlines, working effectively under conditions of frequent interruptions and fluctuating workload; Analytical skills to evaluate information and identify and resolve problems; Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload, assignment, deadlines, competing requirements and very heavy workloads; Ability to work independently and follow through on assignments with minimal direction; Ability to operate Windows-based PC using Microsoft Office (Word, Excel, Outlook and PowerPoint), Teamworks, Jump Forward and Compliance Assistant (CAi); Working knowledge of University purchasing and accounting policies and procedures; and Working knowledge of and the ability to comply with University, Pac-12 Conference and NCAA Rules and Regulations.
