Job Requisition Number: 24799. The Department of History is one of the largest and most respected units in the College of Letters and Science. The department’s faculty ranges across virtually all the major geographical and chronological fields recognized by the discipline.

The Project Assistant is responsible for general administration of the UC Berkeley History-Social Science Project, including financial management, event planning, personnel, and administrative and organizational activities.
Office Administration •Responsible for project email and phone, communication with teachers, schools, and other university staff, organization of office files (hard copy and digital), ordering supplies, maintaining office calendar and a web-based database of all participants and events, outreach and designing promotional materials, drafting correspondence, acting work lead for a work-study student employee and/or part- time assistant, and website design and maintenance for the Project website.
Financial Management •Prepare purchase orders and travel and entertainment reimbursements, process invoices, deposit checks, manage project funds, plan budget for annual RFP, provide monthly financial reports to project director, work with various University offices to manage all contracts and grants. •Assist with annual contract and grant reports. This position is responsible for coordinating with History staff regarding various aspects of budget reporting, or regarding compliance with various business and finance procedures.
Event Planning •Plan and administer all aspects of multiple week-long summer institutes, conferences, and other events for teachers, including announcements, registration, parking, ordering supplies, assembling materials, processing payments, and catering. •Prepare for various recurring meetings throughout the year, including making travel arrangements.
Personnel •Coordinate payroll with Campus Shared Service and Department Manager. Oversee payroll and personnel for Project staff, interfacing with Campus Shared Services. •Facilitate hiring process of new employees, including orientation to the project, setting up technology needs, and navigation of the university.•Excellent analytical and problem solving skills •Demonstrated skills in the areas of customer service; organization and attention to detail; adapting to a continually changing environment; and cultivating effective and respectful relationships with a diverse group of employees •Computer proficiency with Microsoft Office Suite •Excellent communication skills, both written and oral •Experience and knowledge of accounting and payroll •Knowledge of financial analysis and reporting techniques
