Coordinator II (Senior Communications Coordinator)

Reporting directly to the Chief Marketing and Communications Officer and also working closely with the Managing Director, Media Relations and Public Affairs, the Senior Communications Coordinator will work independently with minimal supervision to perform a wide range of complex and confidential administrative, financial, and clerical support functions for the 15-person communications team of the Harvard T.H. Chan School of Public Health's Office for External Relations. In addition to playing a critical administrative support role, the Senior Communications Coordinator will contribute to core communications functions at the School, providing a variety of services--from proofreading to fact checking to photography--as needed.
The Senior Communications Coordinator will be an integral part of a dynamic, tight-knit, and high-energy team. As principal administrative liaison for the communications team, their duties will include interacting by phone, email and in person with internal and external constituents including School faculty, staff, and students, third-party vendors and service providers, and representatives of other universities, businesses, non-profits, media, and other outside agencies.
Administrative support duties will include calendar management for the Chief Marketing and Communications Officer; meeting and travel coordination; tracking and reporting department expenditures; helping to coordinate the process of hiring and paying contract writers as casual or temporary employees; maintenance of email contact lists and administrative records, distributing group-wide communications and handling phone calls, and mail and electronic communications. The Senior Communications Coordinator may also be called upon to draft and/or edit correspondence, respond to media requests, prepare print marketing materials, stock and maintain collateral for display, and plan and staff public and private events, including room reservations, set up, catering, speaker and camera crew arrangements, publicity, IT liaison, identifying events for publication on the website and so forth.
The Senior Communications Coordinator will track media coverage that the School receives by gathering data and materials from various sources; s/he will maintain a daily media log to track and report the School's media activity. S/He will manage the SmugMug digital photo archive, including sharing of digital photo assets with other departments at the School and ensuring the integrity of SmugMug files and how photos are shared and made available. S/He will serve as part of a cross-school team updating the schoolwide Master Calendar.
As requested, the incumbent will take photos of events ranging from the Forum and Voices in Leadership to Dean's Distinguished Lectures and other School events. S/he will take photos to accompany web feature stories. S/he will photograph laboratories and take headshots for faculty, students, and researchers. S/he will support video production and photo shoots lad by other staff members, including scheduling of five monthly short-form video segments produced by various members of the Communication team.
As requested, s/he may be asked to do design projects and to coordinate print production in coordination with graphic designers in the Communications group. As requested, s/he may be asked to prepare slides or PDFs for the master calendar and plasma screens as well as emails, invitations, and other simple marketing and event collateral as needed.
The Senior Communications Coordinator will perform other duties as required, undertaking whatever tasks are necessary to ensure the smooth functioning of the office.

- 5+ years of related experience; a combination of education and experience may be considered
- College degree preferred, or an equivalent of education plus experience in an office environment - Experience with print production and design software (Adobe Creative Suite, InDesign, etc.) is a big plus - Prior experience or a willingness to learn photography is also important
- The successful candidate will be a skilled communicator and proofreader. S/he will be flexible, detail-oriented, willing to learn new skills, and comfortable using multiple technical applications including word processing, spreadsheets, presentation software, electronic calendars, content management systems, email, and the internet to coordinate office activities and procedures
- Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools. Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy. Experience managing multiple deadlines required. Works well across teams and with a variety of projects and constituencies
- Flexibility, a strong work ethic and a positive attitude are also essential. The successful candidate works independently with little supervision
