The Administrative Coordinator collaborates with other staff within the unit and community members to ensure smooth and effective program and business operations through scheduling, billing, operational procedure oversight, program coordination and outreach. It is imperative that the candidate has a mature and professional demeanor to ensure the efficient and smooth day-to-day unit operations. This position directly reports to MSAT Program Director.
Education, Experience and Essential Skills
Education: Two years of college or equivalent post high school office/business courses preferred.
Experience: Minimum of three (3) year’s secretarial responsibilities, one (1) of which were in executive or administrative assistant role. Experience as administrative assistant to manager/director in health care and/or higher education preferred.
Excellent customer service, organization, communication, and problem-solving skills.
Strong attention to detail and the ability to prioritize and multi-task.
Ability to work independently under minimal supervision
Demonstrates ability to function as an effective team leader, to establish goals, develop plans, make decisions and follow through with directions to meet established outcomes. Must have excellent written and interpersonal communications skills. To read, write and converse clearly in English is required.
Organizational skills and ability to successfully prioritize multiple task responsibilities must be highly developed. Routinely edits own and others’ work to ensure correct and professional level documents are disseminated. Must have an understanding of math and basic statistical concepts related to financial management and budget development and monitoring.
Cooperates to solve problems, seek solutions, and promote a positive environment. Maintains direct confidentiality.
Excellent interpersonal skills maintain courteous and professional behavior in interacting with faculty, staff, students, university personnel, and public.
Serve as administrative coordinator to the Program Director and Clinical Education Coordinator.
Plan, direct, and monitor MSAT Program office workflow to include student workers.
Perform systematic MSAT Program office management.
Record minutes for Faculty Organization Meetings and Coordinating Council Meetings.
Maintain minute files for MSAT Program committees and other activities as directed.
Provides support for the MSAT Program Advisory Committee as requested.
Other support responsibilities and activities as requested.
Specific Duties/Essential Position Functions:
Admissions- Manage application process throughout the academic calendar year
MSAT students- Support onboard process, registration schedule, application for graduation
Continuing Education – Manage registration & administration as needed for all workshops
Events Coordinator-Manage new student orientation and information sessions throughout the academic calendar year
Faculty-Support as requested, class schedules and supplies, faculty meetings and questions
Financial Reporting-Manage expenditures, invoices, department budget w/program director & finance office
Supervision-Manage GA’s or work-study students as needed, application windows, events, etc.
Public Relations-Manage communication for MSAT program, phone calls, emails and walk-in traffic
Manual Dexterity – manipulate and correctly use office equipment related to position duties, telephone, writing tasks, computers, fax, copier, and calculators.
Body Mobility – able to push/pull, lift and carry objects up to 25 pounds unassisted, ability to bend and twist occasionally, sit for prolonged periods. Ability to work at a fast pace.
