Provides administrative support in the day-to-day operations of the human resources department to include employee relations, recruitment and employment, personnel records, HRIS, pensions, benefits and professional development.
Examples of Duties:
Acts as initial contact person for walk-in and telephone inquiries. Ensures all visitors and staff are greeted in a courteous and professional manner.
Handles confidential information of a personal nature involving College employees.
Assists with the recruitment and interview process, including conducting employment references.
Processes all new hire paperwork to include I-9 verifications and background checks and all adjunct applications for each Division.
Assists applicants with questions regarding the electronic application process and corresponds with candidates as to the status of the vacancies.
Processes new employee information utilizing the Ellucian Banner system ensuring data standards are met.
Assists with scheduling, preparation and orientations for new full time employees.
Assists with Administrative tasks, preparation and review of Special Payroll Actions for payroll processing and maintaining/updating internal controls regarding employee benefit administration.
Assists with processing payroll changes through the Ellucian Banner system and coordinate changes with the Payroll Department.
Processes all adjunct and overload contracts through the Ellucian Banner system and coordinates payment with payroll.
Perform benefits and union billing reconciliations and process check requests.
Prepares letters, agendas, memorandum and other materials for distribution. Handles mass mailings and duplication requests.
Coordinates with the Financial Aid department and various departments on campus with work study and student workers.
Assists in the preparation and distribution of employee communications.
Assists the department with correspondence, calendar appointments and various reporting needs.
Creates new employee personnel files and files personnel documents, forms and other confidential information in a timely manner.
Maintains adequate inventory of required forms, materials and office supplies
Other related duties as assigned.
Associate's Degree or equivalent combination of education and experience
Minimum one (1) year directly related personnel/human resources experience
Experience handling confidential information and situations
