This position provides executive administrative support to the Vice President for Marketing and Enrollment Services. They will be responsible for maintaining the Enrollment Services dashboard reporting systems, working on research projects and presentations assigned, tracking expenditures against the budget, and tracking Enrollment Services involvement with strategic plan objectives. This position will also represent the division of Enrollment Services in a professional, service-oriented manner to various constituencies on campus.
SPECIFIC MAJOR DUTIES AND RESPONSIBILITIES
Maintain the Enrollment Services dashboard report and other key performance indicator reports.
Prepare reports, presentations, research and briefings for the Vice President with significant autonomy.
Coordinate the completion of the external credibility surveys, working closely with Institutional Effectiveness, Public Relations, Registrar, Financial Aid, the President’s Office, and various units in academic affairs.
Track STLCOP 20/20 strategic objectives with which Enrollment Services staff members are involved.
Initiates written correspondence and other communication in a timely fashion. Follow up as necessary to ensure that timelines and deadlines are met.
In coordination with the unit managers, prepare budget proposals and supporting documentation in the annual planning process.
Process invoices and purchase orders, and track the expenditures against the budget for the Enrollment Services accounts.
Coordinates events as assigned.
Provide administrative and clerical support for the Vice President for Marketing and Enrollment Services.
Manages the calendar and contacts for the Vice President by efficiently scheduling, updating, preparing materials, initiating communication with stakeholders for meetings.
Makes travel arrangements as necessary for the Vice President.
Maintain a professional office environment with secure data and filing systems.
Provide data entry support for Enrollment Services departments as needed during busy times.
Do you have the required education and experience for this position?
A. Education & Experience:
Bachelor’s degree in business, communication or related field or equivalent experience strongly preferred
Three to five years of experience in an executive support role, communications coordinator, office manager, project manager, or related role. Higher education experience is not required.
B. Technical Skills/Abilities:
Ability to organize information, and prepare reports, presentations, and other material in support of an executive’s calendar and task obligations
Ability to exercise confidentiality and discretion
Strong organizational skills and the ability to prioritize tasks
Type quickly, take meeting minutes and file efficiently
Ability to work under deadline pressure but maintain attention to detail
Ability to perform work with various computer applications is required
Excellent customer service skills, collegiality and the ability to interact effectively with a wide variety of people on a variety of channels, and to work both independently and as part of a team
Budget management skills and the ability to analyze and interpret statistics and data are preferred
C. Interpersonal Skills:
Must be very articulate, have excellent written and oral communication and presentation skills, and able to understand abstract concepts effectively
Must be pleasant, polite, approachable, friendly, tolerant and professional
Evidence of the ability to work successfully with executives and administrators is required
Ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required
Sensitivity to issues related to recruitment and retention of a diverse student body are required
Must be calm under pressure and capable of independent judgment and problem solving
An expert at managing personal relationships
