Summary: This employee is a member of and provides support to the Development Team. In addition to donor record keeping, this position incorporates various proactive family and alumni communication processes to build strength in the Aspen Academy community and increase the rate of family retention.
The essential duties and responsibilities of this position include, but are not limited to, the following:
Current and New Family Engagement:
Design and develop themed small groups to provide a more intimate method for parents to connect.
Work with PCO’s New Family Co-Chairs to support and promote new family events.
Increase celebrations of school’s achievements with parent community.
Develop program to promote celebration of family events – babies, promotions, new house, etc.
Develop and execute program designed to cyclically contact all families one time per semester to uncover and resolve issues and determine overall satisfaction.
Work with Administration and Teachers to understand help needs in the school and match parents and guardians to available volunteer hours.
Run quarterly reports to assess parent volunteer hours are being fulfilled.
Manage Sign Up Genius (in conjunction with PCO's grade level representatives)
Ensure all volunteer requests are fulfilled
Ensure pre- and post- communications are delivered
Oversee tracking of volunteer hours in tracking system.
Development Office Support
Help manage donor database
Facilitate gift processing in conjunction with the Accounting department
Maintain individual donor files
Create promise reminders for outstanding capital campaign gifts
Support the coordination and execution of development events (i.e. Grandparents and Special Friends Day, Head of School Reception, Gala)
Manage RSVP lists
Create name tags, check in and registration materials, etc.
Communicate with event volunteers
Support the creation of the alumni and alumni parent committee
Confirm alumni and alumni parent contact information – Project can be done by a parent volunteer
Create and disseminate alumni and alumni parent engagement survey - Project can be done by a parent volunteer
Create and maintain alumni and alumni parent Social Media page(s) (in conjunction with Marketing and Communications)
Support the creation and execution of Alumni events
Alumni and alumni parent involvement in existing Aspen Academy Events
Alumni and alumni parent only events
Support the design and facilitation of
A schoolwide alumni mentoring and/or internship program
An Alumni and Alumni parent giving campaign
Alumni volunteer opportunities
Superior customer service and public relations skills
Strong database management skills
Strong time, organization and project management skills
Strong executive relations skills – responsible for demonstrating a high level of discretion, professionalism, attention to detail, organization and written and verbal communications
Strong verbal and written communication skills
Ability to handle multiple tasks/activities simultaneously while maintaining quality.
Ability to work independently while still being an effective, contributing team member.
Grant permission for a credit check and criminal background check
