The Communications Coordinator provides administrative and operational support to the Senior Vice President, Communications and the Communications and Public Policy Department.
Primary Duties and Responsibilities
Assist the Manager, Editorial Services in writing and editing content for ACGME Departments for use on external (e.g., web, e-Communications, Annual Report) and internal communications.
Provide editorial support to ensure consistency with ACGME Style Guide.
Work with Manager, Editorial Services to prepare and disseminate the weekly e-Communication sent to all GME programs, and other e-Communication e-mail blasts (some regular, some occasional).
Monitor social media related to graduate medical education (GME) and the ACGME.
Work with Director, External and Media Relations to plan social media content; post content on Twitter, LinkedIn, etc., as needed; schedule social media posts/tweets using HootSuite.
Prepare reports tracking media coverage of GME and the ACGME.
Assist with quality assurance testing of copy and functionality of acgme.org and acgme-i.org web pages.
Complete a variety of special projects, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
Work directly with the Senior Vice President (SVP), Communications to support all aspects of her daily work routine.
Coordinate meeting details, including logistics, agendas, and minutes, for the ACGME Council of Public Members.
Maintain the Communications Department budget.
Maintain the calendar of the SVP, Communications, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements; exercise discretion in committing time and evaluating needs.
Serve as a liaison between the SVP, Communications, ACGME staff, and the public, including receiving and screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
Coordinate work with other ACGME staff as needed; play a key role in the coordination of staff efforts both within and outside the department.
Determine priority of matters of attention for the SVP, Communications; redirect matters to other staff to handle, or handle matters personally, as appropriate.
Keep the SVP, Communications advised of time-sensitive and priority issues, ensuring appropriate follow-up.
Sort and triage mail; maintain e-mail and other address directories.
Compose and prepare letters relating to routine correspondence for the SVP, Communications.
Transcribe source material, prepare documents, reports, tables, and charts as directed; distribute as appropriate.
Prepare, reconcile, and submit expense reports, and prepare monthly check request templates for vendor invoices.
Maintain paper and electronic filing systems.
Attend meetings and take notes of discussion; prepare initial draft of minutes and summaries.
Other duties as assigned, including supporting other departments or executives as needed.
Education, Knowledge, Skills, and Abilities
Three to five years’ work experience.
Bachelor’s degree required, preferably in communications or journalism.
Strong computer and typing skills required, including expertise with Microsoft suite of software: Outlook, Word, Excel, PowerPoint, and possibly Access.
Must be proficient in use of Internet, and adept in use of social media.
Must possess a professional and pleasant demeanor.
Must be able to work with minimal supervision and exercise independent judgment and tact.
Must possess sophisticated telephone presence and skills.
Must possess excellent writing, grammatical, and proofreading skills.
Must possess strong interpersonal and oral communication skills.
Must possess well developed senses of judgment and discretion to deal appropriately with confidential information.
Must possess a demonstrated ability to manage a workload of diverse tasks and organize and prioritize work flow.
Must be extremely detail oriented in approaching assigned tasks.

Must have a willingness to assist in other areas as requested, and a flexible and self-initiating approach to taking on other responsibilities and finding additional ways to contribute.
Position requires the significant use of standard office equipment, such as a computer, keyboard, mouse, photo copier, fax machine, telephone, etc.
Most of the work of the Communications Coordinator is done in the ACGME office with the typical physical demands of an office environment.
On occasion, some flexibility with work hours may be necessary (e.g., may be required to arrive earlier and/or stay later than the standard ACGME business hours and be available after work hours and on weekends to provide assistance).
Some travel may be required.
