The University Library aims to inspire and connect scholars with people and information to create new knowledge and to develop ideas that change the world. With that comes an abundance of interesting and important stories to tell — stories about the staff, students and scholars who make surprising discoveries in our Library spaces, stories about how unique Library materials came to be and are currently being used, stories about how the Library advances innovation on our Berkeley campus. The University Library has embarked on a refreshed mission to help users find, evaluate, use, and create knowledge to better the world. In a new strategic plan published earlier this year, we defined four strategic directions that influence how we operate to fulfill this mission. 'We will develop communications and outreach globally to improve our service delivery, strengthen our contributions to the university's mission and attract financial support to tackle our priorities,' states strategic direction 4. As such, we need an experienced events specialist to lead the Library's efforts to showcase the organization's value and accomplishments through event activities. We are looking for an Events Coordinator who can manage some or all of the program logistics, reservations, customer service, and communications aspects of the Library's rich and diverse events. And we have a pretty remarkable venue to host these activities. The university's 'living room,' Morrison Library, is one of the most revered events spaces on campus. The Library Events Coordinator will manage Morrison Library as an event space. She/he will coordinate reservations, walkthroughs, catering, vendors, rentals, billing paperwork, AV support, and communication with clients for most events hosted in this space. She/he will be the on-site Library representative for some Morrison Library events and will manage reservations for other Library events spaces. She/he will support librarians and Library staff (through event planning consultation and logistics/paperwork management) who host events in our many unique and interesting Library spaces across campus. She/he will oversee compliance with campus event rules and regulations. In addition, the Events Coordinator has the opportunity to design and implement part or all our Library-wide events (such as celebrations of special collections, gallery openings, and conferences) and the Library's participation in campus-wide activities (such as Cal Day and Homecoming). She/he will help develop and execute publicity plans and outreach related to Library-hosted events. Night and some weekend work will be required. The Events Coordinator will join a new and growing Communications team at the Library and will have the opportunity to help shape the vision for this position.
Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production. Skill in effectively meeting budget and time constraints. Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the Library and campus. Ability to juggle multiple projects at the same time. Highly developed interpersonal communication skills including political acumen and social perceptiveness. Ability to work in a high-pressure environment. Exceptional project management and organizational skills. Highly developed judgment, decision-making and problem recognition/avoidance/resolution skills, including skill in determining those issues/problems that need to be brought to management's attention. Ability to effectively deal with problems in the moment at an event. Ability to balance Library needs with client needs in an effort to produce a positive outcome for all involved. Experience working with many different vendors and collaborators, including catering, rentals, facilities, business services, event hosts, communicators. Ability to work early mornings, nights and weekends. Minimum of three years experience in the events field.
Knowledge of events communications tools (for example: MailChimp, Facebook Events, Eventbrite) Understanding of campus policies related to event planning.
Salary & Benefits
The annual salary range for this position is $50,100 - $65,000.
