Advertised Summary Job Description: Reporting to the Director of Special Events and Publications at the School of International and Public Affairs (SIPA), the incumbent provides logistical and publicity support for SIPA special events, as well as general administrative support for the Office of Communications and External Relations
Makes all arrangements for lectures, conferences, meetings, and other special events organized by the Communications and External Relations unit; duties include listing events in the University calendar (Bedeworks), creating and sending out the weekly events newsletter, managing registration lists, booking rooms, ordering food and AV, preparing agendas and materials for meetings and events, making travel arrangements and reservations, staffing events, doing event follow up with attendees, etc.
Creates and deploys email invitations and posters based on templates, as well as post-event emails and outreach, including links to videos, surveys, social media assets, and photo galleries.
Updates and manages the unit's mailing lists.
Manages the unit's photo library and prepares slide shows for the web and for special events.
Compiles performance metrics for the unit's operation and produces related monthly reports.
Proofreads materials produced for print such as the Annual Report and SIPA News, and for the SIPA website.
Provides general operations support for the unit; duties include preparing paperwork for P-card purchases, invoices, and billing for SIPA branded merchandise for submission to the SIPA Business Office, ordering supplies, and renewing subscriptions. Acts as a liaison with the SIPA Business Office with respect to the same.
Performs related duties as requested or assigned.
General Minimum Qualifications: High School diploma or its equivalent required. Three years of related experience required, including events coordination.
Additional Specific Minimum Qualifications: Must be proficient in Microsoft Office, including Excel and PowerPoint, and online calendaring systems such as Columbia University's Bedework. Must have excellent interpersonal and organizational skills, judgment and diplomacy, and the ability to communicate effectively and discreetly with diverse audiences.
Preferred Qualifications: Bachelor's degree preferred. Coordination and logistical support for high-profile events and familiarity with social media highly desirable.
