University Development and Alumni Relations increases support for and enhances knowledge of UC Berkeley through communications, public outreach, and fundraising. The department is responsible for fundraising and donor engagement, and works to strengthen unit development offices by consulting and partnering with campus fundraisers. University Development and Alumni Relations also handles a range of central activities and services encompassing events, communications, stewardship, prospect development, gift management, and database management.
This position supports the Associate Vice Chancellor (AVC) – Constituent Programs who is charged as a thought leader to Berkeley's deans, directors, vice chancellors and chief development officers. The AVC will lead and link the conversation around strategy setting and organizational performance with the goal of supporting and continuing the fundraising success of Berkeley's schools, colleges, and programs while setting increasingly aspirational goals for sustained effectiveness and success.
The Development Assistant for Constituent Programs will serve as the lead support for efforts related to the AVC's organizational and programmatic activities. The successful candidate will serve as a Constituent Programs representative in communication with campus representatives (Chancellor's immediate staff, Vice Chancellors, Deans, directors of academic departments, and development directors). The Development Assistant also develops an some reporting functions for program-wide, regional, and portfolio strategic planning, and serves as a front-line representative in communications with campus colleagues. The position coordinates meetings with campus partners and assists in the planning of on campus and local events and meetings. He/she will organize transportation, plan itineraries, and process travel and entertainment reimbursements.
Provide comprehensive administrative support for AVC and helps in administering fundraising and strategic planning initiatives Work on special projects and work teams as needed (assistance with coordinating special events, campus visits, and high level meetings) Develops, compiles, and maintains reports on program activities and results, providing information on program trends and learning to provide basic analysis of data. Information Systems and Data Entry: perform inquiry functions using the CADS database (Campus wide Alumni Development System); enter and retrieve data from system; create query sentences for extracting data from system or calculating fundraising totals; manipulate and present data in a number of end-user applications (Work, Excel, PowerPoint); enter contact reports in CADS utilizing information from briefings, correspondence and e-mails; update biographical information in CADS as necessary; create and produce custom CADS invitation lists for special program events. Make travel arrangements as needed and prepare and submit for processing complex travel reimbursements and expense reports Prepare purchase and work orders, track payables and receivables and follow-up on payment of outstanding invoices and reimbursements Facilitate communication between staff and a variety of University departments; draft edit/format and proof routine and complex correspondence Respond to telephone inquiries and correspondence on behalf of the unit Schedule meetings with prospects, faculty, and administrators. Handle logistics including travel arrangements, itineraries, and briefing materials.
Working knowledge of fundraising, donor relations and public relations concepts, principles, procedures and techniques Working knowledge of the campus, its vision, mission, goals, objectives, achievements and infrastructure Excellent written and interpersonal communication skills to establish and maintain good working relationships throughout the campus and with external constituencies; attention to detail is important Comfortable working with high-level alumni, donors, and campus leadership Good organizational, analytical and critical thinking skills Skill to maintain confidentiality and ability to work with highly sensitive, confidential information Working knowledge of applicable laws, rules, regulations, policies, etc. Ability to work successfully in teams and under own initiative, as well as the ability to shift priorities, handle multiple assignments, and meet deadlines Strong computer skills (MS Word, Excel, PowerPoint), with a proven ability to learn new technical skills quickly and proficiently
